The honest summary: tools and one-off builds work if you have someone technical who will own them. Most businesses under 50 people do not, and the automation quietly stops working three months in.
Language models drift, APIs change, your business changes. A lead-response agent that was 96% accurate in March is 88% accurate in June if nobody is watching. Weekly tuning against real outputs is what keeps managed AI working and is the single biggest difference from a one-off build.
The first 30 days
Week 1 - Audit. The partner reviews a sample of your inbox, CRM activity, support tickets and calendar, and interviews two or three people. Output: a one-page list of candidate workflows ranked by value, with a baseline number for each.
Week 2 - Build. The first workflow is built and connected to your tools. Guardrails are set: approval steps, limits, logging, PII handling.
Week 3 - Launch in review mode. The workflow runs, but a person approves outputs. Accuracy is measured against every approval and edit.
Week 4 - Tune and decide. Prompts, knowledge and logic are adjusted from real data. Categories with high accuracy move to autonomous. You get the first weekly report and decide on workflow two.
From then on, each week has the same shape: monitor, tune, report, and add the next workflow when the last one is stable.

- Flat monthly fee with model usage included or capped - no surprise API bills
- Month-to-month terms, two weeks notice
- Ownership of everything built: prompts, workflows, integrations, documentation, all in your accounts
- Data terms: enterprise API tiers that do not train on your data, regional hosting (US, UK/EU, Australia), least-privilege access, a DPA if you need one
- A weekly report you can actually read
- Human review on anything that commits money or makes a promise to a customer
